A CRM that updates itself.
A managed AI automation that captures every lead, enriches the record, logs the activity, triggers the follow-up and keeps your pipeline honest — so the CRM reflects reality without anyone stopping to type it in. Your reps sell; the data keeps itself current.
- Captures leads from email, forms and calls straight into the CRM
- Enriches new records with the details that matter
- Logs activity and updates stages automatically
- Triggers follow-ups so nothing slips through the pipeline
The CRM is only as good as the last person who bothered to update it.
Every sales team knows the story. The CRM was bought to be the single source of truth, and for a fortnight it was. Then the reps got busy. A lead came in and nobody logged it. A call happened and the note never got typed. A deal closed and the stage stayed stuck at "proposal sent" for a month. Now half the records are missing a phone number, the pipeline report is fiction, and the one person who trusts the data is the one who spends their Friday afternoons cleaning it up.
It isn't that your team is careless. It's that updating a CRM is admin, and admin loses every time there's a customer to serve or a deal to chase. The information exists — in the inbox, on the phone, in someone's head — it just never makes it into the system where it's useful.
What a neglected CRM costs
- Leads that never got entered — and never got called
- Records with half the fields blank or long out of date
- Pipeline reports the boss can't actually trust
- Follow-ups that depend on someone remembering
- Hours of manual data cleanup nobody has time for
Four jobs your CRM should have been doing all along.
We wire an AI layer around the CRM you already run. It watches where your leads and activity actually come from, then keeps the records current — capture, enrich, log, follow up — so the system finally matches what's really happening.
Capture every lead
A new enquiry lands by email, web form or phone call and the automation creates or updates the CRM record on the spot — the moment it arrives, not whenever someone gets around to it. No lead sits in an inbox uncaptured, and no rep has to remember to add it before the next call.
Enrich the record
The automation reads the enquiry and fills in the blanks — name, company, role, phone, what they asked for, how urgent it is — and can match against your existing records and approved data sources. The record arrives complete, so your reps open a full picture instead of a name and a mystery.
Log the activity
Emails, form submissions and call outcomes get logged against the right contact and deal automatically, and pipeline stages move as the signals change. The activity history writes itself, so the timeline is accurate and the reporting reflects what actually happened — not what someone remembered to record.
Trigger the follow-up
Unowned leads get assigned, quiet quotes get a nudge, stalled deals get flagged and dormant customers get a check-in — all on the rules you set. The automation watches the pipeline and acts, then stops the sequence the moment the customer replies. Nothing slips because nobody remembered.
It plugs into the CRM you already run.
Connect securely
We connect to your HubSpot, Pipedrive, Salesforce, Zoho or whichever CRM you use through scoped access — only the fields and permissions the workflow genuinely needs, with credentials held in a secrets manager. Nobody switches systems and no records move out of your CRM.
Map your pipeline
On the scoping call we map how your pipeline actually works — the stages, the fields that matter, who owns what, the follow-up rhythms you rely on. That becomes the logic the automation captures, enriches and triggers against, in your language, not a generic template.
Run alongside first
Before it touches a live record, we test it against your real data side by side with your current process, so you can see it capturing, enriching and following up correctly. You sign off, then it goes live — and we keep monitoring it so it stays working as your pipeline and tools change.
Built for the teams whose CRM never quite keeps up.
If leads come in faster than anyone can log them, or the pipeline report needs a manual scrub before every meeting, CRM automation earns its keep quickly. It's the same managed build underneath — we just point it at where your data actually leaks.
Anyone can set up one automation. Keeping the whole thing honest is the hard part.
Real reading, not rigid forms
A messy email enquiry rarely fits neat form fields. The AI actually reads what a lead wrote, works out the name, company and intent, and maps it to your CRM fields — so the record is complete even when the enquiry was three lines of plain text.
Wired across your stack
Your CRM doesn't live alone. We connect it to your inbox, forms, phone, calendar and quoting tools so a lead becomes a captured, enriched, followed-up record end to end — not an isolated entry someone still has to chase around other systems.
Owned and maintained
CRMs change fields, providers update APIs, logins expire, pipelines get restructured. Because we run it as a managed service, we catch breakages early and fix them — which is the only reason a clean CRM stays clean. If you'd rather build it yourself, our managed vs DIY comparison lays it out honestly.
Questions we get about CRM automation
Which CRMs do you work with?
We build on top of whatever CRM you already run — HubSpot, Pipedrive, Salesforce, Zoho, Copper, monday.com, Airtable, ActiveCampaign and most others with an API. You don't switch systems. We connect to the CRM you use today and automate the updating around it, so the tool your team already knows stays exactly where it is.
Will automation overwrite records our sales team has carefully edited?
No. We set clear rules for what the automation may touch and what it must leave alone. Typically it fills blank fields, appends activity and flags conflicts rather than overwriting anything a person has deliberately set. Where a new value disagrees with an existing one, it surfaces the difference for review instead of silently changing it — so the automation never fights your reps.
Where does the data to enrich records come from?
From the sources you already trust. When a lead comes in by email or form, the automation reads the message and pulls out name, company, phone, role and what they asked for. We can also match against public company data, your existing records and connected tools. We agree the enrichment sources with you on the scoping call — nothing gets pulled from somewhere you haven't approved.
How does it decide when to trigger a follow-up?
You set the rules and we build them in — a new lead with no owner after an hour, a quote that has gone quiet for three days, a deal sitting in one stage too long, a customer who has not been contacted in ninety days. The automation watches your pipeline against those triggers and acts: assigns the lead, sends the nudge, creates the task or alerts the right person. When a customer replies, the sequence stops on its own.
What about privacy and our customer data?
Access is scoped to only the fields and records the workflow needs, credentials are held in a secrets manager, and we document exactly what data is read, written and where it moves before anything goes live. Your customer data stays in your CRM — we automate the updating of it, we do not export it somewhere else.
How long until it is running?
Most CRM automations are live within two to three weeks of the scoping call. We map your pipeline and fields, build the rules, test them against your real records side by side with your current process, and only switch it on once you are confident it captures, enriches and follows up correctly.
